Managing Versions for a Document
In KRIS, users can upload new versions or sub-versions of documents while preserving previous iterations. This feature is particularly useful for maintaining document integrity, tracking changes made to documents over time and ensuring that users always have access to the latest information.

Uploading a new version / sub-version
- Mouse over the Action icon followed by the View Details option of a document from any Document or Search Results tables in page.
- Click on the Version tab inside the Document Profile of the document.
- Select the current version using the radio button on the left.
- Click on the Import New Version or Import New Sub-Version icon.
- Click on to choose the document that you want to upload as new version or sub-version.
- Click on Password Protected checkbox and enter the password if you are uploading a password protected document. KRIS will use the entered password to decrypt the document before saving to KRIS.
- Optionally, enter any comments for this version (e.g. what has been changed) and change the author.
- Click on the Upload button to save the document as new version/sub-version.
Once a new version is uploaded, the version number of the document increases and the new version can be seen under the Version tab.
The new version number can also be seen while browsing a folder. Within a folder, when users open/downloads the document, the system previews/downloads the latest version by default.
Opening a specific version of a document
- Mouse over the Action icon followed by the View Details option of a document from any Document or Search Results tables in page.
- Click on the Version tab inside the Document Profile of the document.
- Select the version that you want to open using the radio button on the left.
- Click on the Open Document to preview the document using the Document Viewer.
Downloading a specific version of a document
- Mouse over the Action icon followed by the View Details option of a document from any Document or Search Results tables in page.
- Click on the Version tab inside the Document Profile of the document.
- Select the version that you want to download using the radio button on the left.
- Click on the Get Copy icon to download the document.
