Assigning a Subject Officer
Subject Officer is a privileged End User who is given the authority to approve the requests from End Users before these requests are routed to System Administrator/User Administrator for processing.
- Approval for New File Requests
- Approval for Document Deletion Request
- Approval for File Access Request for Others
- Managing Draft Record
User Administrator can assign Subject Officer to an existing Subject in the Subject Properties. Note that assignment of Subject Officer can only be done after a Subject is created.
To assign a Subject Officer in Subject Properties,
- Click on Module Switcher at the top bar and select KRIS Administrator module.
- Click on Manage Subject link under Manage Classification section.
- Expand the Subject tree view and select a subject.
- Click on the Browse User icon beside the Subject Officer drop down box.
- Select a user in the Browse User pop up window and click on Add Selected button.
- Click on the Save button to save the changes.
If the Subject has child subjects, the system will show a prompt with following options.

- Only add new SO to this subject – This option is to just add the SO to the current subject. It is selected by default.
- Add new SO to this subject and all child subjects – This option is to to also add the SO to all child subject. If there is an SO in the child subject, it will be overwritten.
- Add new SO to this subject and child subjects that are under old SO – This option is to selectively replace the child subject’s SO if the SO is the same as the old SO.
- For example: If I have changed the SO of the current subject from user A to user B, then this option will replace the SO of the child subjects where the SO = user A
- Add new SO to this subject and child subjects that do not have subject officer – This option is to selectively replace the child subject’s SO if the child subjects do not have SO.
7. Select the appropriate option and click on Yes,add button.
