Checking Reservation and Loan Status

My Physical Files page in KRIS gives you a detailed overview on all the status of your current reservation requests as well as your current file loans.

For your current file loans, KRIS separates the information into 2 categories as described below,

  • My Overdue Files – Provides a list of files that have exceeded their loan periods. It also highlights the No. of days that each file has exceeded the loan period for your attention.
  • Files with me – Displays a list of files that are loaned out to you including the overdue files with the following information and actions.
    • File Ref. No. – This is the numbers or combination of letters / words / numbers that is allocated to a particular file. Each file reference is unique.
    • File Title – Each File Reference has a title. This is used to describe the File.
    • Due Date – The date by which a File borrowed from the Registry must be returned.
    • Next Borrower – The person next in line who has made a reservation for the file.
    • Transfer – Allows you to transfer the file loan ownership to another user who also has access to this file.
    • Loan Extension – Allows you to request to extend your current loan period by X no. of days defined by your administrator.

As for existing File Reservation requests, the information and status can be found in the My Reserved Files table in the My Physical Files page with the following information,

  • File Ref. No – This is the numbers or combination of letters / words / numbers that is allocated to a particular file. Each file reference is unique.
  • File Title – Each File Reference has a title. This is used to describe the File.
  • Borrowed By – Current borrower / requestor of this file reference.
  • Loan Type – Displays the type of reservation made on each file:
    • ASAP – Refers to the reservation request based on the earliest File availability date. No fixed date is defined in request.
    • FIXED – Refers to the reservation request based on a fixed loan date as defined by requester.
  • Status – Indicates the progress of the File reservation request. The different type of status available
    • In Queue – Indicates that the administrator is still processing your reservation requests.
    • Ready – Indicates that your reservation is processed and the File is ready for your collection.
    • Transfer – Indicates that another user has transferred a File Loan Ownership to you and is waiting for your confirmation.
  • Loan Date – The date that you want to borrow this File.
  • Loan Period (Days) – No. of days that you want to borrow to this File. It is counted based on the working days.
  • Details – Allows to view the full details on a File Reservation Request and making changes to this request.
