Browsing through File Classification Plan
Here’s a quick overview on how to look for document from the File Classification Plan Tree View,
The Action Menu Panel – File Classification Plan section displays the Organization’s folder structure in a hierarchical view to facilitate browsing for documents. Besides using the Search function to locate the folders, you can also browse through the File Classification Plan for a full context on how the documents are organized and hence finding the records that you want.
You can change how the folders are displayed by changing the Display settings. The system allows you to display the file references in accordance to File Ref. No. follows by File Title or in accordance to File Title follows by File Ref. No. in alphabetical order. You can also choose to display Closed/Inactive folders in the tree view. By default, the system will only display the “Active” folders.
The following icons represents the different types of classification and folders that can be seen in the File Classification Plan tree view.
- – indicates it is a Subject Classification. Subject is a type of folder classification that classify folders according to a topic of interest e.g. Business Continuity. It does not belong to a particular department or role but rather to whoever that needs to work on it.
- – indicates it is a Cabinet Classification. Cabinet is a type of folder classification that is automatically assigned to a role upon the creation of that role. With roles and cabinets created according to the organization’s hierarchical level, it has also established the parent and child relationship which is widely used in KRIS inheritance rule for access rights control on the information stored in cabinet.
- – indicates it is a Public Folder where all the file references classified under this category are open to everyone regardless of their security grading. It is commonly used for sharing general information that should be available to the entire organization regardless of their function roles and security clearance level. No security grading is tagged the folders that are created under this public folders.
Your organization can decide which type of classification to be used and turn off the rest of the classifications.
